AestheticsPro’s online booking system enables clients to schedule appointments 24/7 through its web portal and mobile app.
The software’s resource management stands out as particularly useful. It prevents common scheduling headaches by automatically checking staff availability, room occupancy, and equipment needs for each service.
When a client books a facial treatment, the system reserves both the aesthetician and the treatment room. It also automatically attaches required consent forms to the appointment, though users report these forms can be cumbersome to customize.
The appointment reminder system works reliably through both email and text messages, helping reduce no-shows. The software also sends automatic re-booking reminders when clients are due for follow-up treatments.
Appointments and Calendar Management
Once appointments are booked, AestheticsPro provides a calendar interface for managing your daily schedule. The system color-codes different types of appointments and shows staff availability at a glance.
While the calendar view is functional, it lacks the polish and intuitive design of mainstream calendar apps and other spa and medspa-tailored software systems.
A useful feature is the ability to set different appointment lengths and buffer times for various services. For example, you can automatically add cleanup time between treatments or account for numbing cream activation time.
The software also tracks cancellations and reschedules, helping identify patterns with specific clients or services. However, making quick schedule changes requires too many clicks in our testing.
The system includes a waitlist feature for filling cancelled appointments, though it’s relatively basic compared to the specialized scheduling tools of its competitors. Staff can add notes to appointments and track client preferences.
The mobile app allows for on-the-go schedule management, though multiple users describe it as slower and less reliable than the desktop version.
Client Data Management
At the heart of AestheticsPro is its Electronic Medical Records (EMR) system for managing client information. The software stores everything from basic contact details to before-and-after photos, treatment histories, and consent forms.
AestheticsPro includes detailed markup tools for documenting injection sites and treatment areas, which practitioners will find valuable for consistent record-keeping.
The system offers customizable intake forms and medical questionnaires, allowing practices to gather specific information they need. While the standard form templates are comprehensive, they can be overly rigid and difficult to modify.
One standout feature is the client portal, where patients can update their information and complete forms before appointments. This convenience comes with trade-offs – users report that clients frequently struggle with the portal interface, particularly with forms not saving properly if clients miss the easy-to-forget save button.
The software also includes alerts for patient allergies, contraindications, and required consent forms.
Specialized Med Spa Features
AestheticsPro includes several features specifically designed for medical aesthetics that set it apart from standard spa software.
The E-prescribe functionality allows providers to send prescriptions directly to pharmacies.
The software’s injection mapping tool stands out as particularly useful for medical spas. Providers can document treatment areas using precise facial diagrams, recording details like units used, dilution ratios, and specific injection points.
While this feature helps maintain accurate treatment records, the drawing tools feel basic compared to dedicated medical charting software.
For laser treatments, the system includes specific forms and treatment tracking sheets that help document settings, joules, and treatment responses. The software also manages before-and-after photos with side-by-side comparison tools.
The platform includes HIPAA-compliant telemedicine capabilities for virtual consultations, allowing providers to conduct follow-ups and quick checks remotely.
The software also tracks patient medical histories and contraindications, automatically flagging potential issues before treatments.
POS, Checkout & Payments
AestheticsPro integrates with two major payment processors: Gravity Payments and WorldPay. Gravity Payments provides Clover devices, including the handheld Clover Flex and the desktop Clover Mini with its larger 8″ screen. WorldPay offers the Ingenico Lane 5000 Deluxe terminal.
All devices support EMV payments and include built-in NFC readers for contactless transactions.
The software handles standard transactions like payments, gift cards, and package sales. While the integration with payment processors works reliably, the transaction fees are higher than standalone payment solutions.
Package tracking is a strong point – AestheticsPro accurately monitors treatment packages, membership plans, and series purchases. It automatically deducts services as they’re used and alerts staff when packages are running low.
However, multiple users report that modifying or refunding package services involves a clunky process, and invoice adjustments can be particularly problematic – requiring complete deletion and reprocessing of credit card charges for even minor changes.
The inventory management aspect of the POS system tracks product sales and stock levels, and can send alerts when items run low. The system can also track commission sales.
Inventory Management
The inventory system tracks both retail products and treatment supplies, though it handles retail items more effectively than medical supplies. The software can automatically generate purchase orders when items run low as well.
The system tracks product expiration dates and lot numbers, which is crucial for ensuring the efficacy and safety of medical supplies and injectables.
What I don’t love, and what countless users complain about is that the process of logging new inventory arrivals requires entering each item individually. There is NO bulk import option.
While the software can generate barcodes for products, users note that the barcode scanning feature sometimes fails to recognize items, requiring manual entry more often than they would like.
Cost tracking provides insights into product profitability, automatically calculating margins and suggesting retail prices.
Staff & Payroll Management
The staff management module handles scheduling, time tracking, and commission calculations. The time clock feature lets employees clock in and out, and managers can adjust timesheets as needed. However, the payroll reports lack the detail needed for complex commission structures.
The software tracks individual provider schedules and can prevent double-booking, but many users report that setting up provider availability rules is unnecessarily complicated, requiring weekly schedule updates rather than allowing simple recurring schedules.
While the system can calculate commission rates based on services and products sold, multiple users mention that commission calculations become unreliable with discounted services or when multiple providers are involved in treatments.
Performance tracking provides basic metrics on each provider’s sales, retention rates, and booking efficiency.
Marketing
AestheticsPro’s marketing module combines email campaigns, text messaging, and lead management tools. The system offers multiple campaign types including e-blasts, newsletters, drip campaigns, and triggered email sequences.
The lead management system helps track potential clients through your sales pipeline with ROI and cost tracking capabilities. The software can segment leads by source and also track conversion rates.
A standout feature is the multi-channel marketing journey builder, which lets you create automated touchpoints based on client behaviors and preferences.
The text marketing component supports both mass promotional messages and individual appointment reminders.
For client segmentation, the software allows targeting based on treatment history, demographics, and engagement levels. This helps practices create focused marketing campaigns for specific services or products.
While the built-in loyalty program tracks points and rewards, practices wanting sophisticated marketing automation might need additional tools to supplement these features.

Summary
While AestheticsPro has quite a few features that look good on paper, I can’t help but notice it suffers from the same bolted-together feeling of many other legacy salon and spa software options on the market.
I’ve mentioned this previously in our reviews of software options like Mindbody and Booker, but the point holds true here as well. You can attach as many features as you want to a piece of spa software, but if the app itself is buggy, clunky, or just plain hard to navigate, each of those components feels just as awful as the core experience.
More importantly, AestheticsPro fails what might be the most important test of any salon, spa, or med spa software: support.
With countless reviews complaining of inconsistent or just plain difficult support experiences, and many more businesses who just couldn’t get the help they needed when it mattered most, I can’t recommend AestheticsPro over the competition in good faith. Especially not when there are better, faster, and easier-to-use med spa software options on the market.
